OVERVIEW OF POSITION:

Our firm is seeking a dedicated and professional individual to fill the role of Receptionist. This full-time position is essential to our organization, as the Receptionist serves as the first point of contact for our clients and visitors, significantly influencing the firm’s public image. We are looking for a candidate who exemplifies enthusiasm, courtesy, and exceptional organizational skills, along with a polished demeanor and a positive attitude.

REPORTING STRUCTURE:

The Receptionist will report directly to the Owner of the firm.

KEY RESPONSIBILITIES

Client and Visitor Engagement:

  • Manage all incoming calls and direct them appropriately, utilizing discretion to screen calls as necessary.
  • Welcome clients, guests, attorneys, and employees, ensuring a warm and professional reception.
  • Create a positive initial impression that reflects the values of the firm.
  • Enhance visitors' comfort by offering refreshments when appropriate.
  • Conduct initial interviews with potential clients prior to scheduling consultations.

Administrative Support:

  • Receive and process all mail, deliveries, and packages, directing them to the appropriate personnel.
  • Ensure timely logging of all incoming mail by stamping it with the date received.
  • Organize and maintain client files and sub-files, ensuring accurate indexing and accessibility.
  • Engage in the preparation of client files for delivery upon the conclusion of representation.
  • Conduct client follow-ups and satisfaction surveys to facilitate continuous improvement.
  • Assist with administrative tasks related to pre-consultation activities, such as email confirmations and directions.
  • Participate in general office duties and collaborate with other staff members as needed.

QUALIFICATIONS:

  • A high school diploma or equivalent is required.
  • Prior experience in a similar role is preferred but not mandatory.
  • Exceptional communication skills, both verbal and written.
  • Proficiency in basic office software and telephone systems.
  • Ability to maintain confidentiality and exhibit integrity in all professional interactions.

COMPENSATION AND BENEFITS:

  • Hourly rate of $17.90
  • Full-time position (40 hours per week)
